For most businesses, the log is a daily requirement. Best practice suggests recording temperatures at least twice a day. You should check once when you open to ensure the unit maintained temperature overnight. You should check again before closing to ensure it worked correctly during the day’s service.

Business Details and Location

Record the Business Name, Site Address, and the Equipment ID (for example, "Walk-in Coolroom A" or "Front Bar Fridge"). You should also note the Date Range covered by the log. This level of detail is crucial for auditors who need to trace specific issues to specific times and places.

The Monitoring Table

This is the core of the document. It needs columns for the Date and Time of the reading. It must also distinguish between Air Temperature and Food Temperature. The Air Temperature tells you if the fridge mechanics are working. The Food Temperature tells you if the food is actually safe.

In this section, you must record the reading against the acceptable limits. The law states that potentially hazardous food must be kept at 5°C or below, or 60°C or above. The table should visually reflect these limits so staff know instantly if a reading is compliant.

How to Write a Temperature Log (Step by Step)

Writing a Temperature Log is a routine task, but it must be done correctly to hold up in an audit. Follow these steps to ensure your records are accurate and useful.

Step 1: Prepare Your Equipment

Before you write anything, ensure you have the right tools. You need a digital probe thermometer that meets Australian standards. Do not rely on the digital display built into the fridge, as these measure air temperature and are often inaccurate. If you are using a digital probe, ensure it is sanitized with an alcohol wipe before it touches food.

Step 2: Record Business Details

At the start of the log sheet (usually weekly or monthly), fill out the header. Write the name of your business and the specific location if you have multiple venues. Identify the specific appliance you are checking. If the log is for "Coolroom 1," write that clearly. This prevents confusion if you have similar units in the kitchen.

Step 3: Take the Temperature

Insert the probe thermometer into the thickest part of the food item. Avoid touching bones or the sides of the container, as this can give a false reading. For liquids like soup or sauce, stir them before taking the temperature to ensure the heat is distributed evenly.

Wait for the reading to stabilize. This usually takes a few seconds. Once the number stops changing, you have your result. Do this for both cold and hot holding units.
