1. Purpose Apex Building Services is committed to providing a workplace where every tradesperson, apprentice, and admin staff member is treated with respect. This procedure explains how we handle complaints fairly and quickly.
2. Scope This procedure applies to all employees, subcontractors, and site visitors of Apex Building Services. It covers bullying, harassment, safety issues, and disputes over work.
3. Principles
- Natural Justice: Everyone gets a fair hearing.
- Confidentiality: We keep matters private.
- Impartiality: We investigate without bias.
- No Victimisation: You will not get in trouble for speaking up.
4. Informal Resolution Try to fix the issue yourself first. If a Site Supervisor gave you a hard time, ask for a private chat to clear the air. If that does not work, ask the Operations Manager, Dave, to help mediate.
5. Formal Complaint Procedure Step 1: Lodging the Complaint Write down what happened. Include dates and times. Email it to Sarah, the HR Manager, at sarah@apexbuilding.com.au.
Step 2: Acknowledgement Sarah will reply to your email within 2 business days to confirm receipt.
Step 3: Investigation Sarah will interview you and anyone else involved. She will look at any photos, emails, or logs. The person you complained about will be told exactly what they are accused of and can give their side of the story.
Step 4: Decision Sarah will write a report. Management will decide on the outcome. We will tell you the result in writing. We might require training, a formal warning, or mediation.
6. Appeals If you do not agree with the result, email the Director, Mike, within 5 days. Explain why the decision is wrong.
7. Record Keeping We store these files in the secure HR folder on the company drive. Only Sarah and Mike can open them.
