Remote Work and Work From Home Policy

Effective Date: 1 July 2023 Version: 1.0 Applies to: All Administrative Staff

1. Purpose

The purpose of this policy is to set out the rules for admins at Smith's Plumbing working from home. It ensures we meet our legal duties while offering flexibility.

2. Scope

This policy applies to all office staff at Smith's Plumbing who work from home. It does not apply to tradespeople on site.

3. Eligibility

To be eligible, an employee must:

  • Have worked for Smith's Plumbing for at least 6 months.
  • Work in a role that does not require physical presence, such as payroll or quoting.
  • Have a safe and quiet room to work in.

4. Requesting Remote Work

Staff must email their request to the Office Manager. The request must say which days they want to work from home. Management will reply within 21 days.

5. Hours of Work and Availability

  • Core Hours: Staff must be online and available between 9:00 am and 3:00 pm AEST.
  • Breaks: Staff must take a 1-hour meal break.
  • Overtime: Staff must get approval before working extra hours.

6. Equipment and Expenses

  • Company Equipment: Smith's Plumbing will provide a laptop and headset.
  • User Supplied Equipment: Staff must provide their own desk and chair.
  • Reimbursements: Smith's Plumbing will pay $50 per month towards internet costs.

7. Work Health and Safety (WHS)

Staff must:

  • Complete the Home Workspace Checklist.
  • Keep their work area tidy and safe.
  • Report any injuries at home immediately to the Office Manager.

8. Data Security and Privacy

Staff must:

  • Use the company VPN for all work.
  • Lock their laptop when they leave the room.
  • Keep client files in a locked drawer or on the secure server.

9. Communication and Performance

  • Communication: Staff must be on Microsoft Teams during core hours.
  • Meetings: Staff must attend the weekly Monday morning meeting via Teams.
  • Performance: Performance is measured by meeting weekly targets.

10. Termination of Remote Work Arrangement

Smith's Plumbing may stop remote work if performance drops or if there are safety issues.
